View and fulfill an order

Process incoming orders and mark them as shipped.

Every paid order shows up in your conversation with Logan and you can also see them by asking him directly.

Order statuses

A new order comes in as Confirmed, with the customer's payment held rather than charged right away. As you fulfill it the order moves to Shipped and then Delivered. The payment is charged at fulfillment. A separate fulfillment status tracks how much you have sent: Unfulfilled, Partially fulfilled or Fulfilled. An order can also be Cancelled or Refunded.

How you'll know

When a new order comes in you get an email titled "New order" for your store, sent to your notification email. It also shows up on your Dashboard right away. You can also ask Logan "what orders came in today" any time. Every order is listed under Orders > Orders in the left sidebar.

Buy a shipping label

The easiest way to fulfill a shipping order is to buy a label right in Minicart. Open the order and choose Create shipping label. You will see live carrier rates with prices, so pick one and choose Purchase label. This marks the order as shipped, charges the customer's held payment and emails them a shipping confirmation with tracking, all in one step. You pay for the label from your payout balance or a card. The shipping your customer paid at checkout is yours and is there to cover it.

Your label price and what the customer pays at checkout are calculated from the package weight and box size. Ask Logan to set your default parcel. Or find it under Orders > Shipping/Pickup setup, in the Default parcel section, where you set a Weight and Dimensions. Keep those accurate so your labels price correctly. If one item is much heavier or lighter than your default, you can set a weight on that product too. While you are there, set Fulfillment time to the number of business days you really need to make the item and get it to the carrier. Minicart adds it to the carrier's transit time when it shows your customer an estimated arrival, so guessing low makes you look late.

Fulfill manually

You can also handle fulfillment yourself. Do this when you use your own carrier or label, when the order is a local pickup or when you want to charge the card now and send the item later.

Tell Logan "mark order #2607119X4K as fulfilled with tracking 1Z999AA10123456784". You can also open the order and choose Fulfill manually. Then pick a path. Shipped is for anything that went out with a carrier. Made to order / Pre-order charges the card without shipping anything, for an item you are still making, a backorder or a pre-order. Other covers a pickup or any fulfillment with no carrier involved.

Made to order / Pre-order is the one to reach for when the goods are not ready yet. It charges the card and stops there, so the order stays open and you can still buy a label or mark it shipped when the item goes out. Use it for something you are making, a backorder, a pre-order, a delivery date the customer picked or an order waiting on your customer to approve a proof. It is also how you keep a payment that is about to expire.

On the Shipped path a tracking number is highly encouraged. It protects you if a customer says their order never arrived. It is not required though, so a missing number never stops you from getting paid.

What your customer receives depends on the path. Shipped sends a shipping confirmation, with tracking if you added a number. Made to order / Pre-order and Other send nothing, since there is nothing for them to follow.

Undo a fulfillment

Marked an order fulfilled by mistake? Open the order and choose Cancel fulfillment to move it back to unfulfilled. The customer's payment stays put and no emails go out. This is not available for digital orders or for orders you fulfilled with a Minicart shipping label, where you cancel the label instead.

Digital orders

A digital order has nothing to ship. Open it and choose Digital delivery, then Send digital delivery to email the customer the download link or instructions you set on the product. You can edit the instructions right up until they go out. See Sell digital products to set those up.

Logan keeps you on pace

Logan flags orders that need to ship soon. A customer's payment is held for 7 days, so an order should be fulfilled within that window before the hold expires and the order is cancelled automatically. We email you reminders as that deadline gets closer. If an order cannot ship in time because you are still making it or waiting on stock, choose Fulfill manually, then Made to order / Pre-order to charge the card and keep the order open.
